Tom Boon Hockey (shortened to TBH) is an "ASBL" the object of which is to organise field hockey events for adults and children in Belgium and abroad. TBH will make available to all participants the infrastructure, equipment and organisation necessary for top level hockey camps with the very best quality and security possible.
All registrations for the different camps will exclusively be done via the internet site www.tomboonhockey.be. As soon as the registration form is completed onsite, the user must choose the type of payment. For all online payments (deposit or total payment for the chosen camp) , the user will automatically receive a confirmation of the order and the registration for the camp in question. For wire transfer payments only the confirmation of the order is sent. A few days after payment by wire transfer, a registration confirmation will be sent, there is a risk that the camp will be fully booked before the confirmation is sent.
It is possible that discounts will automatically be applied on order. There could be automatic discounts on multiple camps on one and the same booking, this discount will NOT apply for separate bookings.
When a camp is fully booked, the order in which the bookings have been made will prevail. A waiting list will be established. TBH requests the email addresses of the parents/guardians of all the participants, all communication before the camps being done by email. The price of the camps is noted in the calendar and includes all the infrastructure, staff and equipment, except personal belongings necessary for all players.
We ask at least one year experience to participate to our Top Hockey camps for the 7-years olds and more and 4 years for our Elite camps.
For the users paying by wire transfer, an order confirmation is sent with the request for payment along with the necessary banking information.
Only one reminder will be sent, if the payment is not received within the 5 days following our reminder, we have the right to cancel the registration, the participant will then have to re-register should he/she so wish.
4.1 In the case of non-payment 5 days after the sending of a reminder, we have the right to cancel a registration. We also have the right to cancel any registrations if, for example, the maximum number of participants has been reached or if the participant does not have the required hockey experience for the concerned camp.
4.2 Cancellation for injury or illness :
4.2.1 We will only consider a cancellation if a mail is sent to: info@tomboonhockey.be before 1pm on the first day of the camp. The refund will only be made if a medical certificate is sent via postal mail to the headquarters of the "ASBL" : Rue Jean-Baptiste Vandercammen 12 - 1160 Auderghem; or by mail to info@tomboonhockey.be.
4.2.2 In the case of a cancellation due to injury or illness, notified more than 4 days before the start of the camp, an amount of 10€ (day camp) and 25€ (residential camp and camps abroad) with be withheld for the administrative costs and will be deducted from the refund.
4.2.3 In the case of a cancellation due to injury or illness, notified less than 5 days before the start of the camp, an amount of 25€ (day camp) and 50€ (residential camp and camps abroad) with be withheld for the administrative costs and will be deducted from the refund.
4.2.4 In the case of a cancellation due to injury or illness, not notified before the start of the camp, an amount of 25€ (day camp) and 75€ (residential camp and camps abroad) will be withheld for the administrative costs and will be deducted from the refund.
4.2.5 In the case of a cancellation for injury or illness, not notified before the end of the camp, no refund will be made.
4.3 In the case of a cancellation for a reason other than Injury or illness :
4.3.1 In the case of a cancellation not due to injury or illness and not notified at least 14 days before the start of the camp, an amount of 10€ (day camp) and 25€ (residential camp and camps abroad) with be withheld for the administrative costs and will be deducted from the refund.
4.3.2 In the case of a cancellation not due to injury or illness and notified between 14 days and 5 days before the start of the camp, an amount of 25€ (day camp) and 100€ (residential camp and camps abroad) will be withheld for the administrative costs and will be deducted from the refund.
4.3.2 In the case of a cancellation not due to injury or illness and notified less than 5 days before the start of the camp, an amount of 50€ (day camp) and 100€ (residential camp and camps abroad) will be withheld for the administrative costs and will be deducted from the refund.
4.3.3 In the case of a cancellation not due to injury or illness not notified before the start of the camp, an amount of 75€ (day camp) and 200€ (residential camp and camps abroad) will be withheld for the administrative costs and will be deducted from the refund.
4.3.4 In the case of a cancellation not due to injury or illness, not notified before the end of the camp, no refund will be made.
4.4 In the case of a partial cancellation :
4.4.1 In the case of an illness during the camp, the participant can miss one day and come back the day after.
4.4.2 If a participant has to leave the camp through injury or illness, TBH will refund an amount of 20€/half day (for day camp that only occur in the afternoon), 30 €/full day of absence (day camp except for elite camp), 40€/full day (elite camp), 60 €/full day (residential camp) and 70€/full day (camps abroad) The refund will only be made if a medical certificate is sent via postal mail to the headquarters of the "ASBL" : Rue Jean-Baptiste Vandercammen 12 - 1160 Auderghem; or by mail to info@tomboonhockey.be.
4.4.3 If a participant misses one or more days of camp through injury or illness, TBH will refund an amount of 30 €/full day of absence (day camp except for elite camp), 40€/full day (elite camp), 60 €/full day (residential camp) and 70€/full day (camps abroad) only if we have been notified before 1pm on the first day of the camp, if no notification is received on time then no refund is possible.
4.5 Should there be a force majeure which would force the cancellation of the full camp before 9am on the first day of camp, TBH will refund 90% of the deposits paid or the registration fees paid. If a force majeure should cancel the camp during the camp, TBH will refund 75 €/ full day jour for a residential camp and 30 €/ full day for a day camp (except for indoor camps). TBH will not reimburse any other costs linked to the cancellation of a camp due to force majeure.
4.6 In case of cancellation of the camp due to measures linked to the covid crisis, TBH will reimburse 100% of the fees paid. If a participant can not participate due to forced quarantine or covid positive testing, we consider this cancellation as a for injury or illness.
4.7 TBH has the right to cancel any camp if there are not enough participants, at the latest 2 weeks before the start of the camp. Should this happen then TBH will refund the total amount of the deposits paid or the registration fees paid.
5. Responsibilities
In the case of any damage or deterioration or theft of equipment owned by TBH or any club host, the participant(s) will be held responsible. TBH will not be held responsible for loss or theft of the personal effects or equipment of the participants.
It is forbidden for participants to smoke or drink alcohol during the camp. Should this occur, the participant(s) will be expelled from the camp with no refund due from TBH. Should a participant show inappropriate behaviour, judged by the head of camp, TBH can expel the participant with a partial refund of 75 €/ full day (residential camp) or jour 30 €/ full day (day camp). We request that the parents go through the rules with their children before the start of each camp. This should clarify the rules and behaviour which we expect all children to respect.
For the camps held abroad, we will contact the parents and appropriate measures will be discussed.
Precise timetables will be given on registration or if not, then check the internet site.
A precise list of material necessary for the camp will be given before the camp. A mouth guard and shin guards are an absolute neccessity on a hockey pitch. The use of mobile phones during the residential camps is forbidden. These will be confiscated by the head of cam and given back at the end of the camp. During the day camps, the use of mobile phones is discouraged and is forbidden during the hockey activities.
Participants are responible for their own equipment and private belongings. TBH declines all responsibility for loss or theft of participants belongings.
We request thet parents/gurdians notify all health issues, allergies or food intolerances. All information provided is the responsability of the parent/guardian. A zone at the bottom of the registration form is provided for this information. You can also provide further information by mail to info@tomboonhockey.be or via the contact button on the internet site. TBH suppose that all participants are in good health and good physical condition. All participants are supposed to be in order for vacinations. All camps will have a first aid kit on site. If needed or awaiting the arrival of a doctor, the personnel of TBH can administer the following medication : paracetamol, disenfectant, anti-inflammatory cream, sunburn cream and insect bite cream. In an emergency, the parent/guardian will be contacted as soon as possible. If a contact is not possible, action will be taken without the parent/guardian's agreement. On registrating your child with TBH, you agree to TBH personnel and the medical services associated taking the necessary medical decisions for the benefit of your child. You authorise the local GP to take the necessary decisions concerning your child's health, even if this means an intervention.
All Belgian participants are covered by the ARBH accident insurance for all day camps. For the residential camps, a further insurance has been contracted to cover accidents 24 hours a day. This insurance also covers participants who are not Belgian nationals. Should an accident occur during one of our activities, the parent/guardian of the injured child should request a form, from the head of camp, to declare the accident to the insurance company and handle the claim thereafter. Tom Boon Hockey ASBL declines all responsability in the case of late notification of a claim by the parent/guardian.
Mouth guards and shin guards are obligatory during all hockey activities, if this is not the case then the accident insurance may refuse to cover a claim.
During the camps abroad, participants must benefit from an assistance and repartriation insurance. The parents/guardians must notify the references of the policy which covers their child. If the parent/guardian does not hhave this type of cover then they must agree to the policy underwritten by Tom Boon Hockey ASBL and pay the premium due.
On signing up for a TBH camp you agree to your child being photograped. These photos may be used on social media and on the site www.tomboonhockey.be to show the different activities proposed by our company.
On signing up you all agree to these photos being used by our partners in advertisements.
In case of litigation, the applicable court of law will be that of Brussels, Belgium.
